What is SaaS?

Software delivered as an online service rather than installed locally.

In plain English

SaaS means you use software over the internet and pay a recurring fee instead of buying and installing it. The provider runs the servers, ships updates and handles security. Your marketing stack is almost entirely SaaS.

For buyers, the trade is convenience against control. You get maintained software and no infrastructure, and in exchange your data and workflow live somewhere you do not own.

What to know

Subscription, not purchase
You pay monthly or annually for access. Costs are predictable but never end, and they scale with users or usage.
Updates happen to you
Features arrive and change without your input. Occasionally something you rely on is removed.
Data portability matters
Before committing, check how you would get your data out. Export quality varies enormously.
The stack accumulates
Most businesses collect more subscriptions than they audit. Reviewing them yearly usually finds savings.

Why it matters

Nearly every tool a marketing team uses is SaaS, so the model shapes real costs and real risk. Tool sprawl is a common and invisible expense, and dependency risk is genuine when a platform changes pricing or shuts a feature you built a process around.

Common mistakes

×Adding tools without auditing what is already paid for and unused.
×Building a process around a feature that could disappear.
×Never checking whether your data can be exported usefully.
×Comparing monthly headline prices without counting per-seat and usage charges.

FAQs

Is SaaS cheaper than buying software?

Lower to start and often higher over time. The real value is not maintaining infrastructure yourself.

How often should I review my subscriptions?

Once a year at least. List every tool, who uses it and what it replaces. There is usually overlap.
